From the first count that doesn't match the shelf to the closing checklist: how RetailOps finds the work, hands it to your team, and shows you what's done.

Read the video transcript

Does your inventory look messy? Does the count in your system match what's actually on your shelves? Or does the screen say twenty-four, while the shelf is empty? If that sounds familiar, you're not alone. And it's quietly costing you, every single day.

Think about where your team's time really goes. Walking the aisles with a clipboard, just to prepare an order. Guessing what's selling, and what isn't. Hunting for dead stock and slow movers, that take up shelf space and cash. Chasing counts that don't match the shelf. And every morning, someone has to figure out what everyone should work on today. That's time that doesn't sell a single thing.

There's a better way. Meet RetailOps. It does the finding, so your team can do the fixing. It only reads your data, so nothing in your register changes.

RetailOps spots the gaps between what's actually on your shelves, and what your system shows. Low stock, negative counts, duplicates, and slow movers. Then it turns them into clear tasks your team can check and fix.

And as inventory gets more accurate, ordering gets smarter. See what's selling fast, what's moving slowly, projected demand, and prices you've paid other vendors. Use intelligent reorder suggestions, and build purchase orders as easily as adding items to a shopping cart.

And daily operations? Keep them consistent with recurring opening, closing, and cooler-temperature checklists. Assign tasks to whoever is working, even temporary staff. And see what's completed, and what still needs attention.

The real problems

Your POS Knows What Sold. It Doesn't Know What Needs Doing.

Every independent store owner knows these moments. RetailOps turns each one into clear work for your team, and gives you a way to see it get done. Why POS inventory drifts from the real store.

"The screen says 24. The shelf is empty."

POS inventory doesn't match the shelves

Missing barcodes, duplicate items and negative counts quietly pull your numbers away from reality, and every report built on them.

Inventory engineFinds the problems, lists them every day, and hands each lead a clear list to check and close.

"We ran out again."

Missed or guessed replenishment

Orders get built from a clipboard walk and memory, so fast sellers run out while slow movers tie up shelf space and cash.

Smart Ordering engineSuggests what to order, in whole cases, from your sales history and what's on hand.

"Did the whole delivery actually arrive?"

Receiving that nobody checks

Deliveries get stacked in the back, invoices pile up, and short shipments or price changes slip through.

Receiving engineStaff confirm what arrived, snap the invoice, and the costs are recorded for price comparisons.

"Who checked the cooler this morning?"

Recurring work gets forgotten

Opening duties, temperature checks and closing routines depend on whoever remembers, especially on busy shifts.

"Did anyone get to that?"

Owners end up chasing updates

Instead of running the business, you're texting staff, walking the aisles and asking what's been done.

One system that connects all of it

Each fix, order, delivery and checklist feeds the next. See how the four engines work together as one continuous cycle.

How RetailOps works

Four Engines. One Continuous Operating Cycle.

RetailOps keeps work moving. Your team gets it done. You stay in control.

  1. RetailOps finds the work
  2. Your team acts
  3. Results flow between engines
  4. You review and decide
  5. Operations keep improving

The whole store, in one loop

Each engine finds work, hands it to the right person, and passes the result on: a fixed count makes the next order smarter, a confirmed delivery updates what you paid, a finished checklist tells you the store closed right. Choose an engine to see what it does.

  1. Finds the workRetailOps reads your POS data and spots what needs attention.
  2. Assigns itEach task goes to the right person or team, with a due time.
  3. Team executesRecounts, orders, deliveries and checklists, done on any device.
  4. Tracks progressEvery result is recorded and feeds the next engine.

Make Your Counts Match Your Shelves

RetailOps reads your POS inventory every day and finds the problems that make it wrong, so your team fixes the data instead of hunting for it.

  • Missing and invalid barcodes, duplicate items, negative counts
  • Dead stock, new products that never sold, slow movers worth a second look
  • A daily list for each lead; every item closed with a reason

Why it matters: accurate counts mean better orders, fewer empty shelves and less cash sitting in stock that doesn't move.

In the storeThe POS shows −6 cases of a cola 12-pack. It appears under Negative inventory, the inventory lead recounts, corrects the count, and closes the item with a reason. Next week's order starts from the right number.

Order What You Need, Not What You Guess

Pick a supplier and RetailOps projects demand from your sales history and what's on hand, then suggests quantities in whole cases.

  • What's selling fast, what's slowing down, and projected demand
  • Prices you've paid other vendors for the same item
  • A shared purchase order cart, a PDF preview, and one-click send to the vendor

Why it matters: your buyer prepares the order in minutes, and every order is reviewed before it goes out. You decide who can send.

In the storeBefore the weekly dry-goods order, the buyer opens New order, picks the supplier and a one-month projection, adds the suggested items to the cart, previews the PO and sends it to the vendor.

Know What Actually Arrived

When a delivery comes in, RetailOps suggests what to check and your team confirms what actually arrived. Invoices are captured from a phone photo.

  • Delivery Review: suggested deliveries, quantities confirmed by a person
  • Invoice photos sent straight to your POS (Toast) for review
  • Confirmed costs feed vendor price comparisons and invoice checks

Why it matters: short shipments and price changes get caught at the door, not weeks later in your margins.

In the storeThe bakery delivery arrives. A staff member opens Delivery Review, confirms the 7 items and 42 units that came in, and snaps the invoice. The confirmed costs show up in the next vendor price comparison.

Routines That Actually Happen

Owners and managers build their own checklists and recurring tasks, with no developer needed: opening, closing, cooler temperatures, deep cleans, anything your store runs on.

  • Recurring or one-time, with due times and assignees
  • Photo answers, notes, and a simple no-login link for part-time helpers
  • Flagged answers stand out on your home screen first thing

Why it matters: the store runs the same way on every shift, and you know it did.

In the storeAt close, the shift lead opens the Closing checklist on the shared tablet: doors locked, floor mopped, deli slicer and ovens off. A "No" is flagged, so you see it first thing the next morning.

A typical store day

Not Another Report. A Store That Runs Itself Forward.

Here's how one day flows through RetailOps, from the morning's data to tomorrow's next actions.

  1. Store data comes in

Sales and inventory sync from your POS. Read-only: nothing at checkout changes.

  2. The work is identified

Negative counts, low stock, items to reorder, deliveries due and today's checklists, all in one place.

  3. Assigned to the right person

Each lead gets a daily list. Tasks and checklists go to a person or a whole team.

  4. Your team gets it done

Recount, build the order, confirm the delivery, finish the checklist, on a phone, tablet or computer.

  5. You see it and decide

Progress, overdue work, flagged answers and orders ready to go, on one screen.

  6. Smarter next actions

Cleaner counts sharpen order suggestions and confirmed costs sharpen price checks. The cycle repeats.

An operating cycle that improves every day, not a pile of reports.

Built and used in a real store

Built on the Shop Floor, Not in a Conference Room.

RetailOps was built inside a working independent grocery store in Connecticut, and that's where it runs every day: counts, orders, deliveries, opening and closing routines.

Every screen is shaped by the people who stock the shelves, take the deliveries and lock up at night. That's why it fits the way an independent store actually works.

Which POS systems does RetailOps work with?

RetailOps connects with Toast. If your store runs on a different POS, tell us about your setup and we'll talk through how RetailOps fits.

Will RetailOps change anything in my register?

No. The connection is read-only. RetailOps never writes to your POS, so prices, items and checkout stay exactly as they are.

Does RetailOps use AI?
